Your signature helps customers identify who they’re communicating with. You can customize your signature and choose how often it’s included in your text messages.

Access Your Signature Settings

  1. Select your profile avatar.
  2. Choose My Profile.
  3. Scroll to the Signature section.
From here, you can edit your signature and choose when it should be included in your messages.

Signature Options

Use Default

Use Default applies your organization’s default signature settings. Depending on how your account is configured:
  • If your administrator has created a company-wide signature, that signature will be used.
  • If no company-wide signature exists, your signature will default to your first and last name.

You can also customize your signature by entering your own text in the Signature field.

When Sender Changes (Recommended)

This option includes your signature:
  • On the first message you send in a conversation.
  • Whenever a different team member joins the conversation.
For example:
  • Erin sends the first message → ~ Erin
  • Dwight replies → ~ Dwight
  • Erin responds again after Dwight → ~ Erin
This helps customers know who they’re speaking with without adding a signature to every message.

Always

Your signature is included with every text message you send. This option is useful if you always want customers to know who sent each message.

Never

Your signature is never included in your outgoing text messages.

Best Practices

For most businesses, When Sender Changes provides the best customer experience. It clearly identifies who is participating in the conversation while keeping messages clean and easy to read. If your organization uses a company-wide signature, check with your administrator before making changes to ensure your signature follows your company’s branding guidelines.
