Authentication Policy allows Administrators to control how Users within their organization sign in to Captivated. You can allow your team to sign in using a Captivated password, Google account, Microsoft/Outlook account, or a combination of these methods. For organizations using Google Workspace or Microsoft 365, this provides a convenient way for employees to access Captivated using their existing accounts.
Authentication Policy settings are available to organization Administrators when this feature is enabled for their account. If you don’t see these settings, contact Captivated Support.

Access Your Authentication Policy

To view or update your organization’s sign-in settings:
  1. Sign in to Captivated as an Administrator.
  2. Navigate to Administration → Organization Settings.
  3. Locate Authentication Policy.
These settings apply to all Users within your organization.

Choose Your Sign-In Methods

Authentication Policy provides two configuration options.

Automatic

When Automatic is enabled, Users can choose from all available sign-in methods:
  • Google
  • Password
  • Microsoft/Outlook
After entering their email address, Users can select their preferred sign-in method.

Select Identity Providers

To restrict which sign-in methods your organization allows:
  1. Turn Automatic off.
  2. Enable the Identity Providers you want to allow:
    • Google
    • Password
    • Microsoft/Outlook
  3. Save your changes.
Your team will only be offered the sign-in methods you’ve enabled. For example:
  • Google + Password: Users can choose between Google and their Captivated password.
  • Microsoft/Outlook only: Users are directed to Microsoft sign-in after entering their email.
  • Google only: Users are directed to Google sign-in without an additional selection screen.
Important: At least one Identity Provider must remain enabled when Automatic is turned off. Captivated will not allow you to save a configuration that disables every sign-in method.

What Your Team Sees When Signing In

All Users begin by entering their email address on the Captivated login screen. What happens next depends on your organization’s Authentication Policy. The same Authentication Policy applies when signing in through Captivated on desktop or mobile.

Disabling Password Sign-In

Organizations that prefer employees to use Google or Microsoft can disable traditional Captivated password sign-in. When Password is disabled, password-related options are automatically removed because they are no longer applicable. Administrators will no longer see these User management actions:
  • Resend Invitation
  • Send Password Reset
  • Force Password Reset
Individual Users will no longer see Change Your Password under their Credentials settings or the password option in their mobile profile.
Important: Before disabling Password, confirm that your employees can successfully access the Google or Microsoft accounts associated with their Captivated email addresses.
Important: Before disabling Password, confirm that your employees can successfully access the Google or Microsoft accounts associated with their Captivated email addresses.
If Password is enabled again, the applicable password-management options become available.

Terminal Users and Shared Workstations

Terminal Users are not affected by Authentication Policy settings. Employees using a shared Terminal User account will continue accessing Captivated through their assigned PINs, regardless of which Identity Providers your organization allows.

View Authentication Policy Changes

Administrators can see when the organization’s Authentication Policy was last updated and who made the change. This information appears under Administration → Organization Settings. If Captivated makes an update on your organization’s behalf, the change will be attributed to Captivated Support.
